Frankly speaking, very few people work without technical specifications, especially in the complex sphere of web development.

The terms of reference simplify the life of the customer of the site, because:

Allows you to find out the preliminary cost of website development.

Accelerates the coordination of basic issues.

Clarifies how the future site should work and look like.

Allows you to collect all the wishes and requirements for the project in one document.

Makes it possible to check the intermediate stages based on the original plan and make changes to any component of the site.

…and the performer:

Accelerates the development of the project.

Gives a clear understanding of the main task.

Provides insurance against performing uncoordinated tasks.

Both parties also receive protection in case of claims. For example, if at the delivery of the project the customer does not like the chosen CMS or design, you can always specify the appropriate clause of the TOR, where the details are spelled out.

Please note: The ToR does not replace the contract, they are different types of documents.

How to draw up a technical task for website development and who does it

Ideally, the contractor and the customer should draw up the technical task together to share their vision of the project and its implementation. But the owner of the future site should not understand the intricacies of development. Therefore, most often the TOR is made by the performer – an agency or freelancer – and gives the customer for approval, explaining in detail all the points.

The customer can help the contractor if he fills out a brief for the creation of the site. This document should answer basic questions about how you see your project.

Also in the brief the customer provides basic information about his company: industry, target audience, specifics of sales, main channels of customer acquisition. This helps the contractor to understand the needs of the business, to differentiate from competitors and make a unique website for a specific client.

Terms of reference for the site: main points and examples

The terms of reference consist of several sections. Their names may differ, but the meaning is the same.

Organizational questions:

Deadline for delivery of the site. It is difficult to name the optimal period without seeing the features of the project. But we can name the average terms. A site developed on a template can take from 2 to 4 weeks. Landing on a template even faster. But a site with a design “from scratch” and complex functionality will require at least 1 month of work.

Detailed scope of work. The scope of work depends on the complexity of the tasks facing the customer. A one-page landing page and a full-fledged online store (with the support of third-party services), of course, set completely different scope of work and different tasks for the contractor.

Detailed description of each stage of work. These are the features of the engine, design, main sections of the site, content, content, domain name and much more, which we will talk about later.

Requirements for the site:

Scenarios of using the site.

Requirements for the structure.

Requirements for navigation

Requirements for design.

Requirements for site usability.

Requirements for functionality.

Requirements for technology.

This is, of course, an average list. But it will be enough to form an initial idea of what should be in the TOR for website development.

CMS (content management system) of the site

In the TOR it is necessary to specify the best option for the CMS of the site. It can be:

SaaS platform: Wix, Tilda;

self-written engine;

framework;

CMS (WordPress, Drupal, OpenCart).

To help the contractor choose the right CMS, be sure to answer three questions:

Who will administer the site: a professional webmaster or a person from the customer’s side?

Who will publish the content?

Who will maintain the site: a developer or a person from the customer’s side?

If there are no developers in the company, it is wiser to choose a boxed CMS. SaaS services are more difficult to recommend because they have a peculiar, always closed architecture and are suitable for the implementation of limited types of sites.

Website design

It is difficult to describe website design on paper. One simple rule works here: give up subjectivity. No “stylish”, “beautiful”, “unusual” and even more so “seller”. It is much easier to approach website design when your company already has a developed brand book.

If you don’t have a full-fledged brand book, then you can specify specific requirements for the design of the pages in the TOR for the development of the site:

Main and secondary fonts.

The theme of the images.

Main and auxiliary colors.

Acceptable and unacceptable color combinations.

Layout of the visual space.

It is not necessary to delve into the description of shapes, figures, chiaroscuro and lines within the technical task for website development.

TOR (technical task) for website development is a special document that regulates technical, functional and…

[19,30
